They do not guarantee the recovery of your data after deletion, ransomware, admin errors, or departing employees. The recycle bin and versioning features are convenience tools with hard retention limits, not backup solutions. An independent backup is the only way to ensure your data is always recoverable.

When a Microsoft 365 license is deleted, Microsoft retains the data for a limited period before permanently deleting it, typically 30 days for most data types. After that, it's gone. Data Protection retains the full backup of every user's data independently of their license status, so offboarding an employee doesn't mean permanently losing their email history, documents, or records.

Yes. When ransomware encrypts SharePoint files or OneDrive content, it typically overwrites file versions rapidly, exhausting Microsoft's built-in versioning before a recovery can be initiated. Data Protection maintains an independent backup stored outside Microsoft's infrastructure that the ransomware cannot reach. Recovery restores data from the clean backup to a point in time before the attack.

Data Protection provides point-in-time restore with no hard expiration; data is recoverable as of any backup point within your configured retention period. There is no 93-day limit. An email deleted two years ago, a SharePoint document overwritten 18 months ago, or a Salesforce record removed last quarter can all be recovered as long as the retention policy covers that period.

Data Protection supports compliance obligations in HIPAA (email and record retention for covered entities), PCI-DSS (retention of transaction-related communications), SOC 2 (data availability and integrity controls), and legal hold requirements. SaaS backup data is encrypted in transit and at rest, stored independently of Microsoft's infrastructure so a compromise of your Microsoft 365 environment doesn't affect the backup. Immutable storage prevents the backup from being altered or deleted after it's written.
